WhatsApp, Instagram, Messenger and email in one place

Why run your business's WhatsApp, Instagram, Messenger, Telegram and email in one system: fewer missed messages, full context and one set of team rules.

Customers don't think in channels. They discover you on Instagram, ask a question on Messenger, carry on over WhatsApp and send a document by email. When every channel lives in a different app, and sometimes on a different employee's phone, the team keeps jumping between screens and something always falls through.

The problem: a separate app for every channel

What "one inbox" means in Whapiz

Conversations from WhatsApp, Instagram, Messenger and Telegram arrive in the same conversation list, on the Tickets screen. Each conversation shows its channel icon, and you can filter by channel. The tools are the same on every channel: Accept, transfer to an agent or a department, Contact Notes, tags, custom tabs and quick responses. So an agent doesn't need to know where an enquiry came from to handle it: they answer from the same place, with the same tools.

Email has its own screen, "Email", in the same system, because email works differently: threads, folders and labels. You connect your business Gmail account, decide which agents work in each mailbox, and reply, forward and save drafts from inside Whapiz. Folders and labels sync back to Gmail, and a counter in the menu shows how many emails are still unread.

And phone calls? You call the customer from the conversation, and the recording, transcript and AI summary are saved on the customer's card.

A familiar scenario: one customer, three channels

A customer sees your post on Instagram and sends a direct message: "How much does it cost?". An agent answers her from Whapiz, from the same conversation list where they also answer WhatsApp. The next day she writes on WhatsApp, because that's easier for her. If her channels are linked to the same customer card, the agent sees the Instagram conversation and carries on from the same point, without asking again. When she emails a signed form, it arrives in the shared mailbox in the same system, and the team can see it came in.

The same scenario, with every channel in a different app, looks like this: an Instagram message answered two days later, a WhatsApp agent asking every question from scratch, and an email nobody knows who it belongs to.

Why one inbox for every channel matters

Full context on every customer

The customer card shows the channels linked to that customer, and you can jump to their conversation on another channel with one click. When channels are linked to the card, an agent answering on WhatsApp knows the same customer asked a question on Instagram yesterday.

One team, one set of rules

The same departments, the same permissions and the same quick responses on every channel. There's no need to train each employee on four different apps.

Fewer missed enquiries

All conversations sit in one list with counters, so no enquiry waits in an app that nobody opened today.

An overview for managers

The Dashboard shows workload, waiting and handling times, each agent's performance and figures per channel.

Working from mobile too

Agents answer every chat channel from the iPhone and Android apps as well, so an enquiry from Instagram or Telegram can be handled away from the office.

Each channel keeps its own rules

ChannelWhat to know
WhatsAppConnected through Meta's platform (the Cloud API). There's a 24-hour window for free-form replies; after it, you reach out with an approved template.
Instagram and MessengerDirect messages to your professional Instagram account and your business's Facebook Page. Meta sets a 24-hour reply window here too, and the system shows inside the conversation how much time is left.
TelegramCustomers write to your business's Telegram bot, and the messages land in the same inbox. There's no 24-hour window.
EmailYour business Gmail mailbox, on a separate screen in the same system, with permissions per mailbox.

In practice: when a customer writes on Instagram or Messenger, reply the same day, because after 24 hours you can't simply write to them again. On WhatsApp you can get back to a customer later too, with an approved template.

Bots and AI on every channel?

The menu bot works on all chat channels: WhatsApp, Instagram, Messenger and Telegram. On WhatsApp it shows buttons and lists; on the other channels, numbered options. The Whapiz AI agent answers customers on WhatsApp. On the other channels the bot routes the enquiry, and agents reply from the same inbox.

How to connect your channels

An admin connects channels on the Connections screen: WhatsApp with "Connect with Meta", your Facebook Page and Instagram account by signing in to your Meta account, Telegram with a bot token, and Gmail by signing in to your Google account. Each connection can have its own greeting message and menu bot. You connect each channel once, and from then on new messages arrive in the inbox.

Questions to answer before you bring channels together

How to start without confusing the team

  1. Start with the channel where most of your customers write to you today.
  2. Add one channel at a time, and make sure someone owns it.
  3. Split work by topic, such as sales or service, not by channel. That way a customer who switches channels doesn't have to switch agents.
  4. Use the same tags and the same quick responses on every channel.

Connect your channels

Open a Whapiz trial account and connect your channels. The shared inbox guide and the guide to tags and custom tabs will help you organise the work from day one.

Frequently asked questions

Does email appear in the same list as WhatsApp?

No. Email has its own screen, "Email", in the same system and under the same login, because it works in threads and folders. Chat conversations from WhatsApp, Instagram, Messenger and Telegram share one list.

Can I limit an agent to part of the work?

Yes. In chat, an agent sees their own conversations and the unassigned conversations in their departments. In email, access is set per mailbox.

Do I need a separate account for each channel?

Each channel connects its own business account: a WhatsApp number, a Facebook Page, a professional Instagram account, a Telegram bot and a Gmail mailbox. Your team works in all of them from inside Whapiz, with one user per agent.

What happens when the same customer writes on both WhatsApp and Instagram?

Each channel opens as its own conversation in the list. When you link the channels to the same customer card, you see them together and can switch between them with one click.
