Internal Chat is a place to talk with your team inside Whapiz: ask a question about a customer, coordinate a shift or ask a colleague for help, without switching to another app. Customers never see this chat, and every user can use it. Unlike internal notes, which are saved inside a specific customer's conversation, the internal chat is a conversation between team members, about anything.
Start a new chat
- In the side menu, click Internal Chat.
- Click New Chat.
- Enter a Chat Title, for example "Evening shift" or "Booking questions".
- Under Select Participants, choose one colleague for a one-to-one chat, or several for a group. You are added to the chat automatically.
- Click Create. The chat appears in the conversation list.
Write and send
- Type in the box that shows Type a message... and press Enter to send. To start a new line, press Shift+Enter.
- The paper-clip icon attaches files, several at once if you like, with a preview before sending.
- The microphone icon records a voice message. Once you start typing, it turns into a send button.
New message alerts
Next to Internal Chat in the side menu, a red number shows how many messages you haven't read. The top bar has a chat icon that marks a new message, and in the conversation list each chat has its own unread marker.
Manage the chat
Whoever created the chat sees a ⋮ menu next to it, with these options:
- Add Member: bring in another colleague.
- Change Chat Color: a colour for quick recognition in the list (saved in your browser).
- Show Participants and Show Owner: who is in the chat and who opened it.
- Delete: delete the chat, after you confirm.
Tips
- A question about a specific customer? Put the customer's name in the title so the chat is easy to find later.
- Information that should stay with the customer's conversation, such as a summary of what was agreed, belongs in the customer's Contact Notes, not in the internal chat.
- You can't remove a participant from an existing chat. If the group changes, start a new chat.
- Internal chat is also available in the iPhone and Android apps, so you can answer a colleague when you're away from the computer.
- Don't send passwords, card details or other sensitive information in the chat.
