Many businesses start with WhatsApp in the same place: the WhatsApp Business app on the owner's phone. Sooner or later the questions arrive. "What is this WhatsApp API everyone talks about?" The WhatsApp Business app: what it gives you
The WhatsApp Business app is a free app from Meta for small businesses. It looks and feels like regular WhatsApp, with a few additions:
- A business profile with your address, opening hours and website.
- A catalog of products or services.
- Labels for sorting chats, quick replies, a greeting message and an away message.
- Broadcast lists, which only reach people who have saved your number in their contacts.
The app runs on one phone, and you can link a limited number of extra devices to it, such as a computer running WhatsApp Web. For a business where one or two people answer customers, that is often enough.
The WhatsApp Business API: what changes
The WhatsApp Business API, officially the WhatsApp Business Platform, is not an app. It is a Meta interface that software connects to, and today it runs in Meta's cloud (the Cloud API). You use it through a system such as Whapiz, and that is where the benefits come from:
- A whole team on one number. Each agent signs in with their own user, from a computer or a phone, and everyone works on the same number.
- No dependence on a phone. Messages travel through Meta's servers, and no device has to stay connected.

When the app is enough
Not every business needs the API. If you answer alone or with one other person, the daily volume is small, you don't need to send reminders or campaigns, and no manager needs to see what is going on, the free app will do the job. Come back to the question when the team grows or when enquiries start getting lost.
And what about the idea that the API is only for large companies? That's no longer true. Meta's platform runs in the cloud, and systems such as Whapiz let you connect a number without a development team. What to check before moving to the WhatsApp Business API
- The number. You need a real phone number that is not connected to a personal WhatsApp account. If the number you have in mind is active in the app today, check in advance what will happen to it in the app after you connect: the options are set by Meta and change from time to time. - Chat history. Conversations from the app do not move over by themselves. In Whapiz you can import past conversations from WhatsApp "Export chat" files (Settings → Archive).
- A Meta business account. The connection goes through your own Meta business portfolio. Meta reviews the display name and sometimes asks you to verify the business (Business Verification), for example to raise your messaging limits.
- Your first templates. Prepare a few basic templates in advance, such as an update on an enquiry, an appointment reminder and a follow-up, so they are approved by the time you need them.
